A customer may have more than one property or system, so a generic note can become ambiguous quickly. Use consistent labels and preserve only the equipment details your team can verify and use during future work.

Write a service story another person can follow
The next technician needs more than a date and a total. Keep the reported issue, observations, customer choices, completed scope, and supporting photos attached to the visit they explain.

- Record completed work and approved changes in plain language.
- Keep estimates, approvals, photos, and completion notes connected.
Make unresolved work visible without overselling it
A recommendation is useful only when the office understands its status. Record whether the customer approved, declined, deferred, or needs more information, then choose follow-up that matches that decision.
- Name the open recommendation and the customer’s current decision.
- Avoid presenting a deferred option as completed or approved work.
- Assign a next date only when another conversation is appropriate.
