Build the follow-up list from real history

Start with customers whose service record, agreement, deferred decision, or requested reminder gives the owner a legitimate reason to reconnect. Do not treat every old contact as the same opportunity.

  • Review completed visits and customer-requested reminders.
  • Separate active agreements from one-time service history.
  • Exclude customers whose decision or situation makes contact inappropriate.

Match the timing and message to the customer

A useful message explains why the conversation is relevant and makes the next step easy. Base timing on your documented service process, applicable agreement, and manufacturer guidance rather than a generic countdown.

  • Reference the property, prior visit, or plan accurately.
  • State what the customer can review, schedule, or ask about.
  • Avoid unsupported savings, safety, or urgency claims.

Record the outcome and protect the next decision

Follow-up should create clarity, not another loose message thread. Save the customer’s response, connect any new Work Order or estimate, and choose another date only when it is welcome and useful.

  • Record booked, undecided, declined, and no-response outcomes separately.
  • Connect new scope to a new Work Order instead of changing old history.
  • Review results before expanding the list or repeating the campaign.
