How to organize job-site notes and photos

Useful job-site records explain the condition, decision, change, and completed result so owners and crews can understand the work without guessing from an old photo.

Capture context, not just images

A photo is most useful when another person can tell what it shows and why it matters. Add a short label or note that connects the image to the location, condition, customer decision, or completed result.

  • Use a wide photo to establish location.
  • Use detail photos for damage, measurements, or completed work.
  • Explain unusual conditions that may matter later.

Keep changes tied to the job

When scope, materials, access, or customer expectations change, record the decision beside the active work. This gives the office and field team a shared reference without rewriting the original history.

  • Record what changed and who approved it.
  • Keep pricing or scheduling effects visible.
  • Separate observations from confirmed customer decisions.

Close the record with useful evidence

Before marking work complete, save the notes and photos the business expects to keep. Do not include passwords, payment details, or private information that does not belong in the service record.

  • Confirm the completed scope.
  • Save final photos and any remaining customer action.
  • Create a follow-up only when the owner needs one.

Keep learning from the next owner decision.
