A daily operations checklist for a small service crew

A small service crew runs more clearly when today’s jobs, customer context, exceptions, and completion details live in one shared operating record.

Prepare the day from confirmed work

Review jobs that are actually scheduled and make sure each one has the information needed to arrive prepared. Keep tentative work separate until the customer and owner have made the required decisions.

  • Confirm address, timing, and responsible person.
  • Review scope, access, equipment, and customer expectations.
  • Surface missing information before travel begins.

Escalate exceptions, not every detail

A shared record should help the crew move without making the owner the switchboard for ordinary information. Bring the owner into scope changes, safety issues, customer decisions, and timing conflicts.

  • Record what the crew observed.
  • Separate approved changes from proposed work.
  • Keep the customer decision attached to the job.

Close the loop before the next day

Save completion context while it is fresh, then identify anything still open. The next day should begin with a clean view of finished work, unfinished tasks, and customer follow-through.

  • Save completion notes and required photos.
  • Mark only truly completed work as complete.
  • Create the next owner follow-up when needed.
