01Capture the request
Create a clear household and pet record with names, species or breed, temperament, feeding, medication, walking equipment, routines, triggers, veterinarian, emergency contact, access method, and owner travel dates. Record meet-and-greet observations and any service the business cannot safely provide. Avoid storing sensitive access information that is not necessary for the visit.
02Price and get approval
Price the actual care plan: visit length, number of pets, frequency, medication support, walks, overnight care, holidays, travel, or added household tasks. Define arrival windows and cancellation terms clearly. Keep the approved schedule and instructions beside the quote so a recurring series starts from an agreed service rather than an informal message.
03Deliver and follow through
Schedule visits with the current pet, access, feeding, medication, and emergency notes visible. Save visit completion, observations, photos, incidents, supply concerns, and payment status. Follow up promptly when instructions change, a pet needs owner attention, keys must be returned, or the household wants to book the next travel period.
